Terms & Conditions, Membership Agreement & Studio Waiver

This Membership Agreement ("Agreement") is entered into between Reform
By Energym ("Reform By Energym", "we", "our" or "us") and the person
purchasing or using our services ("Client", "Member", "you" or "your").
Welcome to Reform By Energym.
We are committed to providing a premium Reformer Pilates experience in a
safe, supportive and welcoming environment. These Terms & Conditions
govern the purchase and use of all memberships, class packages,
introductory offers and services provided by Reform By Energym.
By creating an account, purchasing any Membership, Package or
Introductory Offer, booking a class, attending the Studio or using any
of our services, you confirm that you have read, understood and agree to
be legally bound by this Agreement.
These Terms are intended to protect both our Clients and our business
while ensuring a safe, respectful and enjoyable environment for
everyone.
Nothing in this Agreement limits or excludes your statutory rights under
applicable UK law.
1. Definitions
For the purposes of this Agreement, the following definitions apply.
1.1 Reform By Energym
"Reform By Energym", "we", "our" or "us" means Reform By Energym
together with its directors, employees, instructors, contractors, agents
and authorised representatives.
1.2 Studio
"Studio" means any Reform By Energym premises where classes, workshops,
private sessions or events are conducted.
1.3 Client
A "Client" means any individual who purchases or attends a Membership,
Package, Introductory Offer or class.
1.4 Member
A "Member" means any Client holding an active recurring monthly or
annual Membership.
1.5 Monthly Memberships
Monthly Memberships are recurring subscription products which
automatically renew until cancelled in accordance with this Agreement.
Current Monthly Memberships include:
• The Essentials Four Membership
• The Signature Ten Membership
• The Black Label Membership
Monthly Memberships are subject to a minimum commitment period of two
(2) months.
1.6 Class Packages
Class Packages are one-off purchases providing a specified number of
class credits.
Current Class Packages include:
• The Reform Duo Package
• The Essentials Four Package
• The Signature Ten Package
• Single Reform Pass
Unless otherwise stated, Class Packages must be activated within seven (7) days of purchase and are valid for thirty (30) consecutive days from activation.
A Class Package activates on first use. If it is not activated within seven (7) days of purchase, it will automatically activate on the seventh (7th) day following purchase.
Unused classes expire automatically at the end of the applicable validity period and do not roll over.
1.7 Unlimited Package
The Black Label Package is a one-off purchase providing unlimited Reformer Pilates classes for thirty (30) consecutive days from activation.
The Black Label Package must be activated within seven (7) days of purchase. It activates on first use and, if not activated within that period, will automatically activate on the seventh (7th) day following purchase.
The Black Label Package is not a recurring Membership and does not automatically renew.
1.8 Annual Membership
The Black Label Annual is a twelve (12) month unlimited Membership purchased by a single upfront payment.
The Black Label Annual must be activated within seven (7) days of purchase. It activates on first use and, if not activated within that period, will automatically activate on the seventh (7th) day following purchase. The twelve (12) month Membership period begins on activation.
Annual Memberships include one complimentary Membership freeze per Membership year, subject to the terms contained within this Agreement.
1.9 Introductory Offer
The current introductory offer is:
• Two Weeks Unlimited Pilates
This offer is available exclusively to new Clients unless otherwise
stated.
Reform By Energym reserves the right to amend or withdraw promotional
offers at any time.
1.10 Class Credit
A Class Credit represents one booking entitlement for one scheduled
Reformer Pilates class.
1.11 Billing Date
The Billing Date is the monthly date on which recurring Membership
payments are automatically collected.
1.12 Agreement
"Agreement" means these Terms & Conditions together with our Privacy
Policy, Studio Policies, Booking Policies and Studio Waiver.
2. Acceptance of Terms
By purchasing any Membership, Package or Introductory Offer, creating an
account, booking a class or attending the Studio, you confirm that:
• You are at least eighteen (18) years of age, or meet the
requirements set out in Section 2.1 for Clients aged 16 or 17.
• All information you provide to Reform By Energym is accurate,
complete and up to date.
• You have read and understood these Terms before making your
purchase.
• You understand that participation in Reformer Pilates is a physical
activity involving inherent risks.
• You agree to follow all instructions given by Reform By Energym
instructors and staff.
• You agree to comply with all Studio Rules and Policies.
• You accept responsibility for your own health and wellbeing whilst
attending Reform By Energym.
If you do not agree with these Terms & Conditions, you must not purchase
any services or attend classes.
2.1 Clients Aged 16--17 Years
Clients aged 16 or 17 years may attend classes only with the written
consent of a parent or legal guardian.
For safety reasons:
• The Membership, Package or Class must be purchased by the parent or
legal guardian.
• The parent or legal guardian must complete and sign all required
health declarations, waivers and consent forms on behalf of the
minor.
• The parent or legal guardian must book every class on the minor's
behalf.
• The parent or legal guardian must book themselves onto the same
class and attend alongside the minor for the full duration of every
session.
• The parent or legal guardian accepts full responsibility for the
health, wellbeing and conduct of the minor whilst attending Reform
By Energym.
Children under the age of 16 years are not permitted to participate in
Reformer Pilates classes unless expressly authorised by Reform By
Energym as part of a dedicated youth programme or private session.
2.2 Right to Refuse Entry or Membership
Reform By Energym reserves the right to refuse, suspend or terminate any
Membership, Package or class booking without refund where permitted
under these Terms and applicable law if it reasonably believes that:
• participation may present a risk to the health or safety of the
Client, instructors or other Clients;
• the Client has failed to comply with these Terms or Studio
Policies;
• the Client behaves in an abusive, threatening, discriminatory or
disruptive manner;
• the Client repeatedly misuses the booking system or prevents fair
access for other Clients;
• the Client intentionally damages Studio equipment or property; or
• continued Membership is otherwise considered detrimental to the safe
and enjoyable operation of the Studio.
Where appropriate, Reform By Energym will provide written notice of any
suspension or termination.
3. Changes to These Terms
Reform By Energym may amend these Terms & Conditions from time to time
where reasonably necessary.
Where changes materially affect your Membership or legal rights,
reasonable notice will be provided by email or through our booking
platform before the changes take effect.
The latest version of these Terms will always be available upon request
or through our booking platform.
Your continued use of Reform By Energym following notification of any
changes constitutes acceptance of the updated Terms.
4. Governing Law
These Terms & Conditions shall be governed by and interpreted in
accordance with the laws of England and Wales.
Any dispute arising from or relating to this Agreement shall be subject
to the exclusive jurisdiction of the courts of England and Wales.
5. Entire Agreement
These Terms & Conditions, together with our Privacy Policy, Studio
Policies, Booking Policies and any additional written policies published
by Reform By Energym, constitute the entire agreement between you and
Reform By Energym relating to your Membership and use of our services.
No verbal statement, representation or promise made by any employee,
instructor or representative shall vary these Terms unless confirmed by
Reform By Energym in writing.
6. Events Beyond Our Control (Force Majeure)
Reform By Energym shall not be liable for any delay, interruption or
failure to perform its obligations where such failure results from
circumstances beyond our reasonable control, including but not limited
to severe weather, flood, fire, pandemic, epidemic, government
restrictions, power failure, industrial action or any other force
majeure event.
Where reasonably possible, affected classes will be rescheduled or
credited at Reform By Energym's discretion.

8. Health Declaration
The health, wellbeing and safety of our Clients is our highest priority.
By attending any class, workshop, private session or event at Reform By
Energym, you confirm that you are physically able to participate in
Reformer Pilates and understand the physical nature of the activity.
If you are uncertain whether Reformer Pilates is suitable for you, you
should seek advice from your GP or another suitably qualified healthcare
professional before attending.
Participation in all activities at Reform By Energym is entirely
voluntary.
Attendance at all classes is also subject to Reform By Energym's Booking
& Cancellation Policy, including any applicable late cancellation fees,
no-show charges and booking restrictions in force at the time of your
booking.
9. Medical Conditions
Before attending your first class, you agree to inform Reform By Energym
of any medical condition, illness, injury or disability that could
affect your ability to exercise safely.
This includes, but is not limited to:
• Heart conditions
• High blood pressure
• Low blood pressure
• Respiratory conditions
• Asthma
• Diabetes
• Epilepsy
• Vertigo
• Arthritis
• Osteoporosis
• Hypermobility
• Recent surgery
• Recent fractures
• Neck injuries
• Back injuries
• Spinal conditions
• Hip injuries
• Knee injuries
• Shoulder injuries
• Chronic pain
• Neurological disorders
• Pregnancy
• Any other condition which may affect your ability to exercise
safely.
You agree to notify Reform By Energym immediately if your health or
medical circumstances change.
Failure to disclose a relevant medical condition may increase your risk
of injury and may affect our ability to provide a safe environment.
10. Pregnancy
If you are pregnant, or believe you may be pregnant, you must inform
Reform By Energym before attending any class.
Participation during pregnancy is entirely voluntary and at your own
risk.
Reform By Energym reserves the right to request written approval from
your GP, Midwife or Consultant before permitting participation.
Our instructors may modify exercises where appropriate but are not
qualified to provide medical advice or determine whether exercise is
suitable for your individual circumstances.
You remain responsible for obtaining appropriate medical advice before
participating.
11. Postnatal Clients
Clients returning following childbirth should ensure they have received
appropriate medical clearance before resuming exercise.
Participation following childbirth is at your own discretion and
responsibility.
Our instructors may provide exercise modifications where appropriate but
are not responsible for determining your readiness to return to
exercise.
12. Illness
You must not attend the Studio if you:
• have a contagious illness;
• have flu-like symptoms;
• have a fever;
• have vomiting or diarrhoea;
• have any illness that could place other Clients or staff at risk.
If you become unwell before your class, please cancel your booking in
accordance with our Booking & Cancellation Policy.
Reform By Energym reserves the right to refuse entry where illness is
suspected in order to protect the wellbeing of other Clients and staff.
13. Injuries
If you are injured before attending a booked class, you should cancel
your booking as soon as reasonably possible.
If you experience pain, dizziness or discomfort during class you should:
• stop exercising immediately;
• notify your instructor immediately;
• seek appropriate medical advice where necessary.
You must not continue exercising against the advice of your instructor.
14. Acknowledgement of Risk
You acknowledge and understand that participation in Reformer Pilates
involves inherent risks.
These risks include, but are not limited to:
• muscle soreness;
• muscle strains;
• ligament injuries;
• tendon injuries;
• joint injuries;
• slips;
• trips;
• falls;
• bruising;
• aggravation of existing injuries;
• cardiovascular complications;
• equipment malfunction (although extremely rare).
You understand that no exercise programme can eliminate every risk of
injury.
15. Voluntary Participation
You confirm that:
• your participation is entirely voluntary;
• you understand the risks involved;
• you choose to participate at your own discretion;
• you are free to stop participating at any time.
16. Following Instructor Guidance
For your own safety, you agree to:
• follow all instructions provided by your instructor;
• use equipment only as instructed;
• advise your instructor immediately if any exercise causes pain or
discomfort;
• stop exercising immediately if instructed to do so.
Failure to follow instructor guidance may increase your risk of injury
and may result in your removal from the class where necessary for your
safety or the safety of others.
17. Assumption of Risk
By attending Reform By Energym, you voluntarily assume all ordinary
risks associated with participating in Reformer Pilates.
You understand that Reform By Energym cannot guarantee that injuries
will never occur.
You accept responsibility for participating within your own physical
capabilities and acknowledge that you are responsible for exercising
safely and within your own limits.
18. Waiver & Release of Liability
To the fullest extent permitted by law, you release and discharge Reform
By Energym, its directors, employees, instructors, contractors and
authorised representatives from liability arising from your
participation in classes, workshops or private sessions.
This includes claims relating to:
• accidental injury;
• slips, trips or falls;
• participation in exercise activities;
• loss of personal property;
• accidental damage to personal belongings.
Nothing within this Agreement excludes or limits liability for:
• death or personal injury caused by negligence;
• fraud or fraudulent misrepresentation; or
• any liability that cannot legally be excluded or limited under the
laws of England and Wales.
19. Emergency Medical Treatment
If you become ill or injured during a class and are unable to
communicate, you authorise Reform By Energym to seek emergency medical
assistance on your behalf.
Any costs associated with medical treatment, ambulance services or
hospital care remain your responsibility.
20. Personal Property
All personal belongings are brought into the Studio entirely at your own
risk.
Reform By Energym accepts no responsibility for:
• loss;
• theft;
• accidental damage;
• forgotten belongings.
Where lockers or storage areas are provided, they remain the
responsibility of the Client.
21. Photography & Video
From time to time, photographs or videos may be taken within the Studio
for:
• marketing;
• advertising;
• social media;
• website content;
• promotional material.
Where reasonably practicable, notice will be given.
If you do not wish to appear in any photographs or videos, please notify
Reform By Energym in writing before attending.
We will make reasonable efforts to respect your preference.
22. Health Information
You confirm that all medical information supplied to Reform By Energym
is true, accurate and complete.
Providing inaccurate or misleading information may increase your own
risk of injury and may affect our ability to provide a safe environment.
23. Client Responsibility
You acknowledge that you are responsible for:
• monitoring your own physical condition;
• exercising within your own capabilities;
• taking adequate rest where required;
• informing instructors of any pain or discomfort;
• seeking appropriate medical advice where necessary;
• complying with all Studio Policies and instructor guidance.
24. Acceptance of Health Declaration & Studio Waiver
By purchasing any Membership, Package or Introductory Offer and
attending Reform By Energym, you confirm that you have:
• read and understood this Health Declaration and Studio Waiver;
• answered all health questions honestly and accurately;
• disclosed all relevant medical conditions to the best of your
knowledge;
• voluntarily accepted the ordinary risks associated with
participation in Reformer Pilates;
• agreed to participate at your own risk, subject always to your
statutory rights under the laws of England and Wales;
• agreed to comply with all Reform By Energym policies, including the
Booking & Cancellation Policy, which may include applicable late
cancellation fees, no-show charges and booking restrictions.

25. Memberships & Products
Reform By Energym offers a range of recurring memberships, class
packages, unlimited passes and introductory offers designed to suit
different goals and lifestyles.
Our current products include:
Monthly Memberships
• The Essentials Four Membership
• The Signature Ten Membership
• The Black Label Membership
Class Packages
• The Reform Duo Package
• The Essentials Four Package
• The Signature Ten Package
• Single Reform Pass
Unlimited Passes
• The Black Label Package
Annual Membership
• The Black Label Annual
Introductory Offer
• Two Weeks Unlimited Pilates
Reform By Energym reserves the right to introduce, amend or discontinue
any Membership, Package or promotional offer where reasonably necessary.
26. Monthly Memberships
Monthly Memberships provide access to a specified number of classes or unlimited classes during each monthly Membership period.
Monthly Memberships must be activated within seven (7) days of the initial purchase. A Monthly Membership activates on first use and, if not activated within that period, will automatically activate on the seventh (7th) day following purchase.
Memberships automatically renew every month unless cancelled in accordance with these Terms. Recurring payments are collected in accordance with the Billing Date recorded on the booking and payment platform.
27. Minimum Commitment
The following Memberships are subject to a minimum commitment period of
two (2) months:
• The Essentials Four Membership
• The Signature Ten Membership
• The Black Label Membership
During the initial commitment period, Memberships cannot be cancelled
except where required by law.
Following completion of the minimum commitment period, Memberships
automatically continue on a rolling monthly basis until cancelled.
28. Membership Cancellation
Following the minimum commitment period, Members may cancel their
Membership by providing thirty (30) days' written notice.
Cancellation requests must be sent by email to:
info@reformbyenergym.co.uk (info@reformbyenergym.co.uk)
Cancellation requests will not be accepted:
• by telephone;
• by text message;
• via social media;
• verbally with instructors or staff.
Submitting a cancellation request does not cancel any outstanding
payment obligations.
Membership fees remain payable throughout the thirty (30) day notice
period.
Members may continue using their Membership during the notice period
unless their Membership has been suspended due to non-payment or breach
of these Terms.
Membership fees are non-refundable except where required by law.
29. Automatic Renewal
Unless cancelled in accordance with these Terms, Monthly Memberships
automatically renew every month using the payment method saved to your
account.
By purchasing a Membership, you authorise Reform By Energym to collect
recurring Membership payments until your Membership is cancelled.
30. Failed Payments
Membership fees are payable in advance using the payment method
registered to your account.
If a scheduled Membership payment cannot be successfully collected for
any reason, including but not limited to insufficient funds, expired
payment details or a rejected transaction:
• Your Membership may be suspended immediately.
• Future class bookings may be cancelled.
• Access to the Studio and Membership benefits may be suspended.
• Reform By Energym reserves the right to make further attempts to
collect payment.
It is your responsibility to ensure that your payment details remain
valid and sufficient funds are available on your Billing Date.
If payment remains outstanding after reasonable attempts have been made
to recover the debt, Reform By Energym reserves the right to refer the
outstanding balance to a third-party debt collection or debt recovery
agency.
Where permitted by law, you may also be responsible for any reasonable
administration costs, legal fees and debt recovery costs incurred in
recovering the outstanding balance.
Reform By Energym reserves the right to terminate your Membership and
refuse future bookings until all outstanding balances have been paid in
full.
31. Outstanding Balances
Membership fees remain payable throughout the agreed Membership term
regardless of attendance.
Failure to attend classes, temporary non-use of a Membership or changes
in personal circumstances do not cancel your Membership or release you
from your payment obligations.
Reform By Energym reserves all rights available under applicable law to
recover any outstanding Membership fees.
32. Membership Upgrades & Downgrades
Members may request to upgrade their Membership at any time.
Downgrades will normally take effect after completion of the minimum
commitment period unless otherwise agreed by Reform By Energym.
Any change of Membership may begin a new minimum commitment period.
33. The Black Label Membership
The Black Label Membership is Reform By Energym's premium recurring
unlimited Membership.
Benefits include:
• Unlimited Reformer Pilates classes.
• Access to all scheduled class styles.
• Premium Membership benefits.
• Monthly recurring Membership.
The Black Label Membership must be activated within seven (7) days of the initial purchase. It activates on first use and, if not activated within that period, will automatically activate on the seventh (7th) day following purchase.
The Black Label Membership:
• renews automatically every month;
• has a minimum commitment period of two (2) months;
• cannot be frozen or paused;
• is personal to the Member and non-transferable.
34. The Black Label Package
The Black Label Package is a one-off purchase providing unlimited Reformer Pilates classes for thirty (30) consecutive days from activation.
The Package must be activated within seven (7) days of purchase. It activates on first use and, if not activated within that period, will automatically activate on the seventh (7th) day following purchase.
The Package:
• is paid in full at the time of purchase;
• does not automatically renew;
• cannot be frozen;
• cannot be extended;
• cannot be transferred.
Unused days expire automatically at the end of the thirty (30) day validity period.
35. The Black Label Annual
The Black Label Annual provides unlimited Reformer Pilates classes for twelve (12) consecutive months from activation.
The Membership must be activated within seven (7) days of purchase. It activates on first use and, if not activated within that period, will automatically activate on the seventh (7th) day following purchase.
Payment is collected in full at the time of purchase.
36. Annual Membership Freeze
The Black Label Annual includes one complimentary Membership freeze.
The freeze:
• may only be used once during each Membership year;
• may last for a maximum of four (4) consecutive weeks;
• must be requested in writing by email;
• must be requested at least seven (7) days before the requested
freeze date.
Freeze requests cannot be backdated.
Unused freeze entitlement expires at the end of the Membership year.
37. Annual Membership Cancellation
Following expiry of any statutory cooling-off period, The Black Label
Annual is non-refundable.
38. Class Packages
The following products are Class Packages:
• Reform Duo Package
• Essentials Four Package
• Signature Ten Package
• Single Reform Pass
Packages:
• must be activated within seven (7) days of the date of purchase;
• activate on first use;
• automatically activate on the seventh (7th) day following purchase if not activated earlier;
• are valid for thirty (30) consecutive days from activation unless otherwise stated;
• expire automatically at the end of the applicable validity period;
• do not roll over;
• are non-refundable except where required by applicable law;
• are non-transferable.
Unused classes are forfeited upon expiry.
39. Introductory Offer
The current introductory offer is:
Two Weeks Unlimited Pilates
This offer:
• is available to new Clients only;
• may only be purchased once per person;
• must be activated within seven (7) days of the date of purchase;
• activates on first use;
• automatically activates on the seventh (7th) day following purchase if not activated earlier;
• provides unlimited classes for fourteen (14) consecutive days from activation;
• cannot be frozen;
• cannot be extended;
• cannot be transferred;
• is non-refundable except where required by applicable law.
Reform By Energym reserves the right to withdraw or amend introductory
offers at any time.
40. Membership Freeze Policy
Monthly Memberships cannot be frozen or paused.
This includes:
• The Essentials Four Membership
• The Signature Ten Membership
• The Black Label Membership
Only The Black Label Annual includes a Membership freeze.
Memberships will not be frozen due to:
• holidays;
• travel;
• work commitments;
• unused classes;
• change of mind.
Any exceptions are entirely at the discretion of Reform By Energym or
where required by law.
41. Fair Use Policy
Unlimited Memberships and Unlimited Packages are intended for genuine
personal use.
Reform By Energym reserves the right to investigate or restrict booking
activity where it reasonably believes a Member is:
• making excessive speculative bookings;
• repeatedly preventing other Members from accessing classes;
• allowing another person to use their Membership;
• abusing the booking system.
Repeated misuse may result in booking restrictions, suspension or
termination of a Membership without refund where permitted by law.
42. Pricing (Including Founding Membership Pricing)
Current Membership and Package prices are available through the Reform
By Energym website and booking platform.
Reform By Energym reserves the right to amend prices from time to time.
Where a price increase affects an existing recurring Membership,
reasonable notice will be provided before the increase takes effect.
From time to time, Reform By Energym may offer limited Founding
Memberships at introductory or promotional rates ("Founding
Memberships").
Founding Membership rates are offered for a limited time and are
available only to eligible Clients during the promotional period.
Clients who purchase a Founding Membership will retain their original
Membership price for as long as they:
• maintain an active Membership without interruption;
• continue paying their Membership fees when due; and
• comply with these Terms & Conditions.
If a Member cancels their Founding Membership, fails to make payment
resulting in the Membership being terminated, or otherwise allows the
Membership to lapse, the Founding Membership rate will be permanently
forfeited.
Should the Member wish to rejoin Reform By Energym at a later date, they
will be required to purchase a Membership at the current advertised
price applicable at that time. The previous Founding Membership rate
cannot be reinstated.
Founding Memberships are personal to the original purchaser and may not
be transferred, assigned or exchanged.
Reform By Energym reserves the right to discontinue the sale of Founding
Memberships at any time. This will not affect the pricing of existing
active Founding Members who continue to meet the conditions set out
above.
43. Refund Policy
Memberships, Packages and Introductory Offers are non-refundable except
where required by applicable law.
Unused Membership time, unused classes and promotional offers cannot be
exchanged for cash, credit or alternative products.
44. Non-Transferability
Memberships, Packages, Introductory Offers and Class Credits are
personal to the purchaser.
They may not be:
• transferred;
• shared;
• sold;
• assigned;
• gifted after activation.
Any misuse may result in immediate suspension or termination without
refund where permitted by law.
45. Right to Amend Memberships
Reform By Energym reserves the right to amend, replace or discontinue
Memberships, Packages, pricing or promotional offers where reasonably
necessary.
Where any change materially affects an existing Membership, reasonable
notice will be provided before the change takes effect.
Document 4 -- Booking, Attendance & Studio Policies
46. Membership Misuse & Fraud Prevention
All Memberships, Packages, Class Credits and Introductory Offers are
intended for the sole personal use of the individual who purchased them.
Any attempt to misuse, abuse or fraudulently obtain access to Reform By
Energym's services may result in the immediate suspension or termination
of your Membership, cancellation of future bookings and refusal of
future access to the Studio without refund, where permitted by law.
Membership misuse includes, but is not limited to:
• Allowing another person to use your Membership, Package or Class
Credits.
• Booking classes on behalf of another person using your Membership.
• Sharing your login details or allowing another individual to access
your account.
• Creating multiple accounts to obtain introductory offers,
promotional pricing or discounts intended for new Clients.
• Providing false, misleading or inaccurate personal or medical
information.
• Attempting to avoid Membership payments or outstanding balances.
• Initiating a chargeback or payment dispute without first contacting
Reform By Energym to resolve the matter.
• Abusive, threatening, offensive or discriminatory communication
towards instructors, staff or other Clients.
• Deliberately damaging Studio equipment or property.
• Any fraudulent or dishonest activity that Reform By Energym
reasonably believes has been carried out.
Reform By Energym reserves the right to investigate any suspected misuse
of its Memberships, Packages or booking system.
Where appropriate, Reform By Energym may request additional information
to verify your identity or the legitimacy of any booking or Membership.
Where Membership misuse or fraud is identified, Reform By Energym
reserves the right to:
• Suspend or terminate the Membership immediately.
• Cancel any future bookings.
• Remove promotional pricing or discounts obtained fraudulently.
• Recover any outstanding Membership fees or losses incurred.
• Refer unpaid debts to a third-party debt recovery agency where
appropriate.
• Refuse future Membership applications or class bookings.
Nothing in this section limits any other rights or remedies available to
Reform By Energym under this Agreement or applicable law.
47. Booking Classes
All classes must be booked in advance using Reform By Energym's official
booking platform or mobile application.
Bookings are subject to availability.
A booking is only confirmed once you have received confirmation through
our booking system.
Reform By Energym reserves the right to refuse or cancel any booking
where it reasonably believes the booking has been made fraudulently or
in breach of this Agreement.
48. Booking Eligibility
Clients may only book classes where they hold:
• an active Membership;
• a valid Class Package;
• a valid Unlimited Package;
• a valid Introductory Offer; or
• a valid Single Reform Pass.
All bookings remain subject to Studio availability.
49. Waitlist
Where a class is fully booked, Clients may join the waitlist.
If a space becomes available, the next Client on the waitlist will
automatically be booked into the class.
By joining the waitlist, you agree to accept a place should one become
available.
If you no longer wish to attend, you are responsible for removing
yourself from the waitlist before being automatically added.
Once you have been moved from the waitlist into the class, the standard
cancellation policy applies.
50. Booking Window
Reform By Energym may set limits on:
• how far in advance classes may be booked;
• the maximum number of future bookings a Client may hold;
• the number of classes that may be attended each day.
These limits may be amended from time to time.
51. Cancellation Policy
Classes may be cancelled or rescheduled free of charge up to twelve
(12) hours before the scheduled class start time.
This cancellation policy applies to all Memberships, Packages, Passes
and Introductory Offers.
Cancellations made less than twelve (12) hours before the scheduled
class start time will be treated as a Late Cancellation and will be
subject to the £12.00 late cancellation fee set out in Section 52 below.
52. Late Cancellation Fee
To ensure fair access to classes for all Members and Clients, Reform By
Energym operates a 12-hour cancellation policy.
If a booked class is not cancelled at least twelve (12) hours
before the scheduled class start time, a £12.00 late cancellation fee
will apply.
The £12.00 late cancellation fee applies to all Memberships, Packages,
Passes and Introductory Offers, including but not limited to Monthly
Memberships, The Black Label Membership, The Black Label Package, The
Black Label Annual, Class Packages, Single Reform Passes and Two Weeks
Unlimited Pilates.
The late cancellation fee will be charged automatically to the payment
method held on your account.
Failure to pay an outstanding late cancellation fee may result in
suspension of your account, cancellation of future bookings and refusal
of further bookings until the outstanding balance has been paid.
53. No-Shows
If you fail to attend a booked class without cancelling in accordance
with this Agreement, this will be treated as a Late Cancellation and a
£12.00 fee will apply.
The £12.00 fee applies to all Memberships, Packages, Passes and
Introductory Offers.
Repeated no-shows may also result in temporary suspension of booking
privileges or termination of Membership where misuse of the booking
system is identified.
54. Late Arrival
Clients are encouraged to arrive at least 10 minutes before their
scheduled class.
Clients attending their first class should arrive at least 15 minutes
before the class start time to allow sufficient time for registration, a
studio introduction and safety briefing.
For safety reasons, entry may be refused once the class has commenced.
Where entry is refused due to late arrival, the Booking & Cancellation
Policy will apply.
55. Studio Doors
To ensure the safety and security of all Clients and instructors, Studio
doors may be locked once a class has begun.
Late entry cannot be guaranteed.
56. Instructor Changes
Reform By Energym reserves the right to change instructors where
reasonably necessary.
Instructor changes do not entitle Clients to a refund, credit or
extension.
57. Timetable Changes
Class timetables may be amended from time to time.
Reform By Energym reserves the right to add, remove, reschedule or
replace classes where reasonably necessary.
Where reasonably possible, notice will be provided.
58. Studio Closures
Reform By Energym reserves the right to close the Studio temporarily
for:
• maintenance;
• refurbishment;
• staff training;
• public holidays;
• emergencies;
• circumstances beyond our reasonable control.
Where possible, notice will be provided.
Temporary closures do not automatically entitle Clients to refunds
unless required by law.
59. Grip Socks
Grip socks must be worn during every Reformer Pilates class.
Clients who arrive without grip socks may purchase a pair at Reception,
subject to availability.
Reform By Energym reserves the right to refuse participation where
suitable grip socks are not worn.
60. Clothing & Personal Hygiene
Clients should wear suitable exercise clothing that allows safe
movement.
For the comfort of all Clients, good personal hygiene is expected.
Reform By Energym reserves the right to refuse participation where
clothing or hygiene presents a health or safety concern.
61. Mobile Phones & Electronic Devices
Mobile phones should be switched to silent before entering the Studio.
Photography or video recording during class is not permitted without
prior permission from Reform By Energym.
Clients are asked to avoid disrupting classes through the use of
electronic devices.
62. Respectful Behaviour
All Clients are expected to treat instructors, staff, other Clients and
Studio property with respect.
The following behaviour will not be tolerated:
• abusive language;
• harassment;
• discrimination;
• bullying;
• intimidation;
• threatening behaviour;
• deliberate damage to Studio property.
Reform By Energym reserves the right to remove any Client from a class
or terminate a Membership without refund where permitted by law if their
behaviour places others at risk or disrupts the Studio environment.
63. Personal Belongings
Personal belongings remain the responsibility of the Client at all
times.
Reform By Energym accepts no responsibility for lost, stolen or damaged
items.
64. Food & Drink
Only water in a sealed bottle may be taken into the Studio unless
otherwise authorised by Reform By Energym.
Food is not permitted inside the exercise studio.
65. Alcohol & Drugs
Clients must not attend classes whilst under the influence of alcohol or
illegal drugs.
Reform By Energym reserves the right to refuse entry where a Client
appears impaired or where participation may present a risk to themselves
or others.
66. Children & Spectators
Only Clients booked into a class may enter the Studio during sessions.
Children, family members and spectators are not permitted inside the
exercise area unless expressly authorised by Reform By Energym.
67. Lost Property
Any lost property found within the Studio will be retained for a
reasonable period.
Items not collected may be donated, recycled or disposed of without
further notice.
Reform By Energym accepts no responsibility for unclaimed items.
68. Health & Safety
Clients must immediately report:
• faulty equipment;
• accidents;
• injuries;
• spillages;
• hazards.
Clients agree to comply with all health and safety instructions given by
instructors and Studio staff.
69. Right to Refuse Entry
Reform By Energym reserves the right to refuse entry or remove any
Client from the Studio where it reasonably believes that:
• participation may present a risk to health or safety;
• the Client has breached these Terms;
• the Client is under the influence of alcohol or drugs;
• the Client behaves in a manner that is unsafe, abusive or
disruptive;
• the Client refuses to follow instructor guidance.
Document 5 -- Privacy, Conduct & Legal Provisions
70. Client Conduct
Reform By Energym is committed to providing a welcoming, inclusive and
respectful environment for all Clients, Members, instructors and staff.
By attending the Studio, you agree to behave in a respectful and
considerate manner at all times.
You must not engage in behaviour that is abusive, threatening,
intimidating, discriminatory, harassing or disruptive.
This includes behaviour towards:
• Members;
• Clients;
• Instructors;
• Employees;
• Contractors;
• Visitors.
Reform By Energym reserves the right to immediately remove any Client
from a class or terminate a Membership without refund where permitted by
law if their behaviour places others at risk or materially disrupts the
Studio environment.
71. Harassment, Bullying & Discrimination
Reform By Energym has a zero-tolerance policy towards:
• harassment;
• bullying;
• discrimination;
• victimisation;
• intimidation;
• sexual harassment;
• hate speech;
• aggressive behaviour.
Any such behaviour may result in immediate removal from the Studio,
suspension or termination of Membership and, where appropriate,
reporting to the relevant authorities.
72. Damage to Studio Property
Clients are expected to treat all Studio equipment, furniture and
facilities with reasonable care.
Where damage is caused intentionally or through reckless or negligent
behaviour, Reform By Energym reserves the right to recover the
reasonable cost of repair or replacement.
73. Equipment
All Studio equipment remains the property of Reform By Energym.
Clients must:
• use equipment only as instructed;
• return equipment after use;
• immediately report damaged or faulty equipment.
Clients must not attempt to repair or alter Studio equipment.
74. Photography & Filming by Clients
To protect the privacy of all Clients:
Photography, filming or recording inside the Studio is not permitted
without prior permission from Reform By Energym.
No Client may photograph or record another Client without that
individual's express consent.
Any content recorded with permission must not be used in a manner that
is defamatory, misleading or damaging to Reform By Energym or any
individual.
75. Marketing & Photography Consent
From time to time, Reform By Energym may capture photographs or videos
within the Studio for marketing purposes.
These images may be used on:
• our website;
• social media platforms;
• printed marketing materials;
• digital advertising;
• promotional campaigns.
Where reasonably practicable, notice will be given before filming or
photography takes place.
If you do not wish to appear in photographs or videos, please notify us
in writing before attending. We will make reasonable efforts to respect
your preference.
76. Privacy
Reform By Energym respects your privacy and is committed to protecting
your personal information.
Personal information is collected only where necessary for:
• managing your Membership;
• processing payments;
• managing bookings;
• providing classes safely;
• communicating with Clients;
• complying with legal obligations.
Your information will be processed in accordance with the UK General
Data Protection Regulation (UK GDPR), the Data Protection Act 2018 and
our Privacy Policy.
77. Health Information
Health information provided by Clients is treated as confidential and
will only be used for purposes relating to the safe delivery of our
services and compliance with legal obligations.
Health information will only be shared where:
• required by law;
• necessary to protect life;
• you have given consent.
78. Communications
By creating an account with Reform By Energym, you agree to receive
communications relating to:
• bookings;
• timetable changes;
• Membership administration;
• payment reminders;
• Studio updates.
Marketing communications will only be sent where you have provided the
appropriate consent and may be withdrawn at any time.
79. Intellectual Property
All intellectual property belonging to Reform By Energym remains our
exclusive property.
This includes:
• logos;
• branding;
• photographs;
• videos;
• website content;
• class names;
• written materials;
• digital content;
• training programmes.
No material belonging to Reform By Energym may be copied, reproduced,
distributed or used commercially without our prior written permission.
80. Website & Booking Platform
Clients agree not to misuse the Reform By Energym website, booking
platform or mobile application.
This includes:
• attempting unauthorised access;
• introducing malicious software;
• interfering with bookings;
• creating duplicate accounts;
• using another person's account.
Any misuse may result in immediate suspension of your account.
81. Consumer Rights
Nothing within this Agreement limits or excludes your statutory rights
under:
• Consumer Rights Act 2015;
• Consumer Contracts Regulations 2013;
• Equality Act 2010;
• any other applicable legislation.
82. Limitation of Liability
Nothing within this Agreement excludes liability for:
• death or personal injury caused by negligence;
• fraud;
• fraudulent misrepresentation;
• any liability which cannot legally be excluded.
Subject to the above, Reform By Energym shall not be liable for indirect
or consequential losses arising from your use of our services.
83. Severability
If any provision of this Agreement is found to be unlawful, invalid or
unenforceable, the remaining provisions shall continue in full force and
effect.
84. Waiver
Failure by Reform By Energym to enforce any provision of this Agreement
shall not constitute a waiver of that provision or any other rights.
85. Assignment
Clients may not assign, transfer or otherwise dispose of any rights
under this Agreement.
Reform By Energym may transfer or assign its rights where reasonably
necessary.
86. Complaints
If you are dissatisfied with any aspect of our services, we encourage
you to contact us as soon as possible.

88. Acceptance of Terms
By purchasing any Membership, Package, Introductory Offer or attending
any class at Reform By Energym, you acknowledge that:
• you have read these Terms & Conditions;
• you understand your rights and responsibilities;
• you agree to be legally bound by this Agreement;
• you understand that these Terms form the entire agreement between
yourself and Reform By Energym.
Document 6 -- Final Legal Provisions
89. Electronic Acceptance
By creating an account, purchasing any Membership, Package or
Introductory Offer, booking a class, attending the Studio or selecting
"I Agree" through our booking platform, you acknowledge that your
electronic acceptance has the same legal effect as signing this
Agreement by hand.
90. Complaints Procedure
Reform By Energym is committed to providing an exceptional client
experience.
If you are dissatisfied with any aspect of our services, we encourage
you to notify us as soon as reasonably possible so that we have the
opportunity to investigate and resolve the matter.
Complaints should be submitted in writing to:

We aim to:
• acknowledge your complaint promptly;
• investigate the matter fairly and impartially;
• provide a response within a reasonable timeframe.
Nothing in this section affects your statutory rights.
91. Third-Party Service Providers
Reform By Energym uses trusted third-party providers to assist with the
operation of our business.
These providers may include services relating to:
• Membership management;
• Booking systems;
• Payment processing;
• Email communications;
• Website hosting;
• Customer support.
Where third parties process your personal information, they will do so
in accordance with applicable data protection legislation and only for
authorised business purposes.
92. Consumer Rights
Nothing within this Agreement limits or excludes any rights that you are
entitled to under applicable law, including but not limited to:
• the Consumer Rights Act 2015;
• the Consumer Contracts (Information, Cancellation and Additional
Charges) Regulations 2013;
• the Equality Act 2010;
• the Data Protection Act 2018; and
• the UK General Data Protection Regulation (UK GDPR).
93. Severability
If any provision of this Agreement is found by a court or other
competent authority to be unlawful, invalid or unenforceable, that
provision shall be deemed severed from this Agreement.
The remaining provisions shall continue in full force and effect.
94. No Waiver
If Reform By Energym delays or chooses not to exercise any right or
remedy under this Agreement, this shall not constitute a waiver of that
right or remedy.
Any waiver must be made expressly in writing.
95. Assignment
Memberships, Packages, Introductory Offers and Class Credits are
personal to the purchaser and may not be assigned, transferred or
otherwise disposed of except where expressly permitted by this
Agreement.
Reform By Energym may assign or transfer its rights and obligations
under this Agreement where reasonably necessary, provided this does not
adversely affect your statutory rights.
96. Notices
Any notice required under this Agreement should be sent in writing by

Reform By Energym may send notices to the email address registered on
your account.
It is your responsibility to ensure that your contact details remain
accurate and up to date.
97. Survival of Terms
Any provisions of this Agreement which by their nature are intended to
continue after the termination or expiry of your Membership or Package
shall remain in effect.
This includes, but is not limited to, provisions relating to:
• outstanding payments;
• debt recovery;
• liability;
• intellectual property;
• privacy;
• dispute resolution; and
• governing law.
98. Interpretation
Headings contained within this Agreement are included for convenience
only and shall not affect the interpretation of these Terms.
Words importing the singular include the plural and vice versa where the
context requires.
References to legislation include any amendments, replacements or
re-enactments of that legislation.
99. Acceptance of Agreement
By purchasing any Membership, Package, Introductory Offer or Single
Reform Pass, creating an account, booking a class or attending Reform By
Energym, you confirm that:
• you have read this Membership Agreement and Studio Waiver in full;
• you understand your rights and responsibilities;
• you have had the opportunity to ask questions before agreeing to
these Terms;
• you agree to comply with all Studio Policies and procedures;
• you consent to the collection and processing of your personal
information in accordance with our Privacy Policy;
• you understand that failure to comply with these Terms may result in
suspension or termination of your Membership or booking privileges
in accordance with this Agreement.
